Data Processing Agreement

Who this is between

This agreement is between ______________________ (the “Client”) and Digital Wolf Media (Steven Motes, Denton, Texas). It covers the business data the Client shares with Digital Wolf Media during a consulting or implementation engagement, and it sits alongside the engagement’s statement of work.

Effective date: ______________________

Who is in charge of the data

The Client decides what data gets shared and why — the Client is the controller of that data. Digital Wolf Media handles the data only to do the work it was hired to do — in that role, Digital Wolf Media is the processor.

What data this covers

The Client’s customer records and business records that the Client chooses to share for the work: things like customer names and contact details, order and bookkeeping records, business documents, and files. It covers only what the Client actually shares for the engagement — nothing more.

Only on the Client’s instruction

Digital Wolf Media works on the Client’s data only to do the job described in the engagement. The data is not used for Digital Wolf Media’s own marketing, and it is never sold, rented, or traded — to anyone, for any reason.

Kept confidential

Everything the Client shares for the work is treated as the Client’s confidential business information. It is not shown to other clients or posted anywhere. Material a client shares with Steven directly — in a call, a message, or a project file — is used to do the work and nothing else.

How the data is protected

The services behind the work

A short list of services (sub-processors) that may handle data as part of running the business:

Each of these handles data under its own terms. No other service is given client data for an engagement.

The engines and your own AI account

Where an engagement includes the Digital Wolf Media engines: each engine is a file the Client runs inside the Client’s own AI account. Digital Wolf Media does not receive, see, or store the business material the Client runs through the engines. What happens inside the Client’s own AI account is governed by that AI provider’s terms, on the Client’s side.

If something goes wrong

If Digital Wolf Media learns of a breach that affects the Client’s data, Digital Wolf Media will tell the Client promptly — within 72 hours of learning of it — and will say plainly what happened, what data was involved as far as it is known, and what is being done about it. Digital Wolf Media will help with reasonable follow-up steps the Client needs to take.

When the work ends

When the engagement ends, or any time the Client asks, Digital Wolf Media will return or delete the Client’s shared data, as the Client chooses. The one exception: copies Digital Wolf Media must keep as its own business and tax records are kept for that purpose only. Nothing is kept to be used later, and nothing is sold, rented, or traded — ever.
